Testo completo (inglese)

1. Who we are

This Privacy Policy describes how Matrix International Business Consulting LLC ("Matrix", "we", "us"), a limited liability company organized in the State of Florida, United States, with offices at 759 SW Federal Highway, Stuart, FL 34994, collects, uses, stores and shares personal data when you visit www.matrix-usa.us or lp.matrix-usa.us (the "Site") or use the services offered through them (the "Services").

You can contact us about anything in this Policy at [email protected] or by mail at the address above.

2. What data we collect

Data you give us. When you fill in a contact or lead form, book a video call, start a company registration, or chat with us, we collect what you type: your name, email address, telephone or WhatsApp number, country of residence, the timeframe in which you plan to open a company, your business sector, and any message or project description you add. When you start a company registration we additionally collect the details needed to file the company: company name, business activity, address, and for each member or officer their full name, date of birth, nationality, address and passport details. If you pay online, the payment is processed by our payment provider; we receive confirmation of the payment and the last digits of the card, never the full card number.

Data collected automatically. When you use the Site we and our service providers collect technical data: IP address, browser type and version, operating system, device type, language, pages visited, time on page, the page that referred you, and campaign parameters (such as UTM tags) attached to the link you used. This data is collected through cookies and similar technologies described in section 7.

Chat. If you use the chat assistant on the Site, the messages you write are processed to answer you and are stored together with the chat session so that our team can follow up.

3. Why we use your data and on what legal basis

To respond to your request and provide the Services: contacting you after a form, scheduling and holding a video call, preparing and filing your company, obtaining an EIN, and delivering any other service you order. Basis: performance of a contract or steps taken at your request before entering into one.

To send service communications: confirmations, reminders for booked meetings, information about the status of your filing, and notices about your account or our terms. Basis: performance of a contract and our legitimate interest in administering the Services.

To send marketing communications about our services, by email, telephone or messaging, when you have asked for information or are an existing client, and subject to your right to opt out at any time. Basis: consent, or our legitimate interest in promoting our services to people who have contacted us.

To measure and improve the Site and our advertising: understanding which pages and campaigns bring visitors, measuring conversions, and showing relevant advertising on third-party platforms. Basis: consent for non-essential cookies where the law requires it, and otherwise our legitimate interest.

To comply with legal obligations, including identity verification required for company filings and tax forms, record-keeping, and responding to lawful requests from authorities. Basis: legal obligation.

To protect our rights and prevent fraud and misuse of the Site and the Services. Basis: legitimate interest.

4. Who we share your data with

We do not sell personal data. We share it only with service providers who process it on our behalf and under contract, with authorities when the law requires it, and with professionals you ask us to work with.

Service providers we use include: website hosting and database services (our Site and lead database are hosted in the United States); email delivery and calendar services, including Microsoft 365, used to send confirmations and reminders and to schedule video calls on Microsoft Teams; a payment processor for online payments; an AI-assisted chat service that powers the chat assistant on the Site and AI services we use to draft meeting notes for our advisors; and analytics and advertising platforms (Google Analytics, Google Ads, Meta and OpenAI) that receive technical data and, for conversion measurement, hashed versions of the email address or telephone number you submitted.

Government authorities. To file your company and obtain an EIN we transmit the required details to the relevant Secretary of State and to the Internal Revenue Service. Banks you ask us to work with receive the company documents and member information they require.

Legal requirements. We may disclose personal data where required by law, court order or a governmental request, or to establish, exercise or defend legal claims.

Business transfers. If Matrix is involved in a merger, acquisition or sale of assets, personal data may be transferred as part of that transaction; this Policy will continue to apply to it.

5. International transfers

Matrix operates from the United States and your data is stored and processed there. If you are in the European Economic Area, the United Kingdom, Switzerland, Brazil, or another jurisdiction with data-transfer rules, your data is transferred to the United States on the basis of your request for our services (performance of a contract) and, where our providers require it, standard contractual clauses or equivalent safeguards.

6. How long we keep your data

Lead and contact data is kept for as long as we are in contact with you and for up to 24 months after our last interaction, unless you become a client. Client, company-filing and accounting records are kept for as long as you are a client and afterwards for the period required by United States federal and Florida law for tax, corporate and anti-money-laundering records, generally seven years. Booking and chat records are kept for 24 months. Technical and analytics data is kept according to the retention settings of the platforms listed in section 7, generally between 2 and 26 months.

7. Cookies and similar technologies

The Site uses first-party and third-party cookies, pixels and local storage. Essential cookies keep the Site working (for example, remembering a booking in progress). Analytics cookies (Google Analytics, through Google Tag Manager) tell us how the Site is used. Advertising cookies and pixels (Google Ads, Meta Pixel, OpenAI ads pixel) measure the results of our campaigns and may be used to show you relevant advertising on those platforms. The chat assistant sets its own cookie to keep your conversation.

You can block or delete cookies in your browser settings. Where the law of your country requires it, non-essential cookies are only set after you consent. Blocking cookies does not stop the Site from working, but some features, such as the chat and the booking calendar, may not keep your progress.

8. Your rights

Depending on where you live, you may have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to its processing, to receive it in a portable format, to withdraw consent you have given, and to complain to a supervisory authority. Residents of the European Economic Area and the United Kingdom have these rights under the GDPR and UK GDPR; residents of Brazil under the LGPD; residents of Mexico, Colombia, Chile, Argentina and other countries under their respective data-protection laws.

To exercise any right, write to [email protected] from the email address you used with us, or by mail to the address in section 1. We will respond within the period required by the applicable law and may ask you to verify your identity first. Some data cannot be deleted while we are legally required to keep it (section 6).

You can opt out of marketing emails at any time through the unsubscribe link in each email, and of marketing messages or calls by telling the advisor who contacts you or writing to us.

9. Security

We protect personal data with technical and organizational measures appropriate to its sensitivity: encrypted connections (HTTPS) across the Site, access controls and authentication for our team, encrypted storage at our hosting providers, and contractual obligations on every provider that processes data for us. No transmission over the internet is completely secure, so we cannot guarantee absolute security; if we learn of a breach affecting your data we will notify you and the competent authorities as the law requires.

10. Children

The Site and the Services are intended for adults. We do not knowingly collect personal data from anyone under 18. If you believe a minor has given us data, contact us and we will delete it.

11. Automated decision-making

We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects. The chat assistant and the AI tools we use to draft meeting notes support our team; a person reviews and decides.

12. Links to other websites

The Site links to third-party websites, such as government portals, banks, platforms and our social media profiles. This Policy does not cover them; please read their own privacy notices.

13. Changes to this Policy

We may update this Policy to reflect changes in the Site, the Services or the law. The date at the top shows the latest version. Material changes will be announced on the Site; continued use of the Site after that date means you accept the updated Policy.
